Section 1 - Your Details

Section 2 - Display Screen

Check that text and background colours work well together. Software settings may need adjusting to change text size. Make sure the screen is clean and cleaning materials are available. Take care in selecting a cleaning material that is suitable for the screen as some can cause damage. Order through normal departmental purchasing procedure.

Sometimes different screen colours e.g. lighter text on a darker background can help. Sometimes other electrical equipment (e.g. fans) close by may cause interference. Flat screens are not usually subject to flicker. If the problem persists contact the Information Services Help Desk.

Adjust them for comfortable viewing - they may need adjusting during the day as the ambient lighting conditions change. Separate adjustment controls are not essential provided you can read the screen easily at all times.

Is it damaged? If you are unable to get the screen to a comfortable position you may need to replace the screen.

You might need to move the screen or even the desk and / or shield the screen from the source of reflections. Screen the light source e.g. window blinds. Screen colour schemes with dark text on a light background are also less susceptible to glare and reflections.

Section 3 - Keyboard

This is a requirement, unless the task makes it impracticable (e.g. where there is a need to use a portable device). Laptops and notebooks are not recommended for prolonged use - try to use a desktop PC. If laptop or notebook use is unavoidable, consider a separate mouse/keyboard for the laptop and a riser support for the laptop/screen.

Try pushing your display screen further back to create more room for the keyboard, hands and wrists. If you are using a thick, raised keyboard you may need a wrist rest.

If 'no' first try cleaning the keys on the keyboard. If the letters and numbers still cannot be read your keyboard will need replacing. Use a keyboard with a matt finish to reduce glare and/or reflection.

Section 4 - Mouse

The mouse and trackball are general purpose devices suitable for many tasks, and available in a variety of shapes and sizes. Alternative input devices such as touch screens may be better for some tasks (but can be worse for others).

The mouse should be positioned next to the keyboard and close to the user to avoid overstretching the arm. Try to rearrange your desk to ensure the mouse can be used without overreaching or unnecessary twisting or bending of the wrist. A mouse mat is useful in providing a defined area to use your mouse on.

You should be able to find a comfortable working position. Support can be gained from the desk surface or arm of the chair where fitted.

Check that the mouse is clean and that the work surface is suitable. A mouse mat may be needed.

Section 5 - Software

Software should help you carry out the task with the minimum of stress. You should also have appropriate training. Discuss with your Line Manager or contact the Information Services Help Desk for advice.

Section 6 - Furniture

Create more space by moving reference material, files etc. elsewhere in the office. If you have a desktop printer can it be moved? If the processor is on the work surface can it be moved to the floor to allow more desk space? You may need to consider the display screen height if it sits on top of the processor.

Rearrange equipment, papers, etc to bring frequently used things within easy reach.

Your desk should have a non-reflective surface. If 'no' consider using mats or blotters on the desk to reduce any reflections or glare.

The space under the desk should be kept clear and not used for storage.

Section 7 - Working Posture

Adjust the chair height to allow you to sit with forearms horizontal, upper arms close to the body and elbows at approximately 1-2cm above the desk when touching the G and H keys.

If not, a foot rest may be needed. Please contact your Line Manager or local DSE Assessor to discuss your requirements.

Adjust the backrest height so that it supports the curve in the lower back. Check that you are not leaning forward to get closer to the screen or to reach things. Are you sitting away from the backrest because the seat is too deep to sit back?

Sometimes armrests can catch on the edge of the desk. Can they be adjusted to avoid hitting the edge of the desk? Can they be removed?

Adjust the display screen height, if necessary. Non 'touch typists' will benefit from having the screen positioned slightly below eye level as they typically look down to the keyboard when keying.

If your hands are bent up or down when keying check that your seat is adjusted to the correct height - refer to question 19. Try tilting your keyboard to improve the position of your wrists. Follow the on-line training advice on setting up your computer workstation. A wrist rest may be required.

Section 8 - Working Environment

Space is needed to move and stretch. If you are cramped and continually knock into your desk when moving about the workplace, consider re-arranging the furniture to give greater width of walkways.

You should be able to control light levels, e.g. by adjusting window blinds or light switches.

Check that blinds work. Contact your Building Liaison Officer if there are any problems with blinds. Seek help if you are unable to resolve problems with glare.

DSE and other equipment may dry the air. Contact lens wearers may notice their eyes can become dry and uncomfortable during sustained computer work and you may wish to consider wearing glasses instead. Circulate fresh air if possible. Plants may help.

If 'no', can the heating be controlled / adjusted? More ventilation may be required, taking care to avoid uncomfortable draughts.

If 'no' consider ways in which your workplace can be rearranged to move noisy equipment to another location to reduce the distraction.

If 'no' the cables should be re-directed to remove the trip hazard. This may require longer extension leads. However care should be taken to avoid stacking too many plugs into extension leads. Alternatively a cable management device (which covers the cable) may be used. Discuss with your Line Manager.

Section 9 - Work Routine

You should not be sitting staring at your computer for long periods without a change. Consider varying work tasks and taking short frequent breaks which are better than longer less frequent ones. Follow the advice on exercises for computer users in the guidance leaflet 'Are you sitting comfortably'.

Section 10 - General

Using a laptop for long periods increases the risk of musculoskeletal discomfort and potential eyestrain. A docking station or a separate keyboard and mouse which attach to the laptop may be necessary.

Monitors should be positioned at the same height and side by side with the far edge of each monitor angled slightly toward the user to reduce the amount of neck twisting. If you are using a dominant screen this should be placed directly in front of you. Where a laptop is used as an occasional second screen, the laptop should be placed on a riser (books or photocopy paper can be used).
